How to use tags for organizing units & articles

Tags in SmoothStay help you stay organized, especially when managing multiple units, destinations, or regional content. Whether you're customizing guidebook articles by location or grouping similar units, tags make it easy to scale and structure your content.

๐Ÿ—‚๏ธ Where to manage tags

The main place to create, view, and manage tags is in the Content section of your dashboard.

To access your tags:

  1. Click on the Settings tab in the left menu.

  2. Select the Tags sub-tab.

  3. You'll see a list of all existing tags, each with its own color.

  4. To create a new tag, click Add tag and enter your label (e.g., Tulum, Foggy Bottom, Mountain Cabins).

๐ŸŽจ Each tag is color-coded for quick recognition throughout the platform.


โœ… Applying tags to a unit

Tags can be assigned to units to group them by region, property type, or any other organizational need.

To tag a unit:

  1. Go to the Units tab and select the desired unit.

  2. In the Profile section, navigate to the Tags tab.

  3. Check one or more tags to apply to the unit.

  4. These tags will determine which articles are shown in that unit’s guidebook (more on that below).


๐Ÿ“ Tagging guidebook articles

Tags also control which articles appear in which guidebooks, based on the unit’s assigned tags.

To apply a tag to an article:

  1. Go to the Content section and open the article you want to edit.

  2. Click the Visibility tab.

  3. Under the Tag dropdown, choose the tag that matches the intended audience (e.g., Riviera Maya).

Only units that share the same tag will show the article in their guidebook. This makes content targeting easy and efficient.

  1. Create a tag called Playa del Carmen.

  2. Assign that tag to all units located in Playa del Carmen.

  3. Create an article titled “Best Beach Bars”, and assign it the Playa del Carmen tag.

  4. Result: Only guests staying at units with that tag will see that article in their guidebook.
