SmoothStay is built with security and flexibility in mind, giving you full control over who can access your guidebook and when. Every guidebook is protected by default through unique security tokens, ensuring only people with your shared links can view your content.

Your guidebook uses token-based security to protect access. When you share a general share link or reservation link, each URL includes a unique security token (e.g., ?guest=7CUHUG) that acts like a keyβ€”only people with the complete link can access your guidebook. This means your content won't appear in search engines or be accessible to the public unless you explicitly enable public viewing.

You have complete control over your guidebook's visibility and sharing options:

Sharing Links:

  • General Share Link – A permanent, token-protected link to your property's guidebook for quick sharing without time-based restrictions

  • Reservation Link – Unique, time-controlled links for each guest reservation with automatic expiration

  • Custom URL Path – Customize your guidebook's URL slug for cleaner, more memorable links

  • Deep Links – Link directly to specific categories, subcategories, or articles inside your guidebook

Privacy & Security Controls:

  • Guidebook Active/Inactive – Activate or deactivate your guidebook at any time to control all access

  • Allow Public View – Optionally make your guidebook publicly accessible without a security token (ideal for boutique hotels or showcase purposes)

  • Security Token Regeneration – Generate a new token anytime to revoke access to previous general share links

  • Restricted Articles – Mark sensitive content to control visibility across different link types

Under the Visibility & Sharing tab of each Property, both Sharing links and the Privacy and Security settings allow you to manage access with just a couple of clicks.

This toggle controls whether your guidebook is accessible at all.

  • When checked: The guidebook is active and can be accessed by anyone with a valid share link.

  • When unchecked: The guidebook is deactivated and no one will be able to view it β€” not even guests with a direct link.

Use this if you're still editing your guidebook or want to temporarily hide it from view.
