Connect SmoothStay to OwnerRez
Connect OwnerRez once and SmoothStay keeps your properties, bookings and guest details up to date, then writes each guest's guidebook link back into OwnerRez so your messages can send it.
Beta. The OwnerRez integration is in beta. If something looks wrong, email hello@smoothstay.io with the property and booking ID.
How the sync works
The sync runs one way, from OwnerRez to SmoothStay. Changes arrive within seconds through OwnerRez webhooks.
What | Direction | Notes |
|---|---|---|
Properties | OwnerRez โ SmoothStay | Imported when you connect or resync |
Bookings | OwnerRez โ SmoothStay | Bookings only, not owner or maintenance blocks |
Guest contacts | OwnerRez โ SmoothStay | Name, email, phone and language |
Door lock codes | OwnerRez โ SmoothStay | Saved as the reservation's smart lock code |
Date, guest and cancellation changes | OwnerRez โ SmoothStay | Updated automatically |
Guidebook link | SmoothStay โ OwnerRez | Written to the booking field SmoothStay guidebook link |
The guidebook link is the only thing SmoothStay writes to OwnerRez. Nothing else in your OwnerRez account is changed.
Listing content. Descriptions, photos and amenities import only if your OwnerRez plan includes listing or website access. If they don't come through, add them in SmoothStay. During onboarding, the wizard also lets you pull them from an Airbnb link or pasted text. After onboarding, you can still import amenities for each property.
Before you connect
You need an OwnerRez account with access to the properties you want to import.
Only one property management system can be connected to SmoothStay at a time. If another one is connected, disconnect it first.
Connect your OwnerRez account
In SmoothStay, go to Settings โ Integrations and click Connect under OwnerRez. You can also start from the onboarding wizard: choose the property management system card, then OwnerRez.
You're taken to OwnerRez. Sign in if asked and click to authorize SmoothStay.
OwnerRez sends you back to SmoothStay and the import wizard opens.
When you connect, SmoothStay adds a booking field called SmoothStay guidebook link to your OwnerRez account. You'll use it in your messages later.
Import your properties
The import wizard lists your OwnerRez properties. For each one, choose:
Create a new SmoothStay property from it.
Link it to a SmoothStay property you already have.
Skip it for now.
Then tick what to import (property details, bookings, guest contacts) and whether to bring in existing upcoming reservations or only new ones. Click Import.
The import runs in the background. A banner shows progress, and you can keep working while it finishes. Several properties can take a few minutes.
Resync
To pull in a property you skipped or new changes from OwnerRez, open Settings โ Integrations, click the โฎ menu on the OwnerRez card and choose Resync. The import wizard opens again with your current OwnerRez properties.
Send guidebook links through OwnerRez messages
Add the field's merge code to your OwnerRez templates and every guest gets their own guidebook link, with no copy and paste.
In SmoothStay, open Settings โ Integrations and copy the merge code shown on the OwnerRez card. It's usually
{BXSSLINK}.In OwnerRez, open the message template or trigger you use for check-in details.
Paste the merge code where the link should appear, for example: Your guidebook: {BXSSLINK}
Preview the message on a recent booking to check the link fills in.
Timing matters. SmoothStay writes the link about 5 minutes after a booking arrives. Set OwnerRez triggers to send at least 15 minutes after booking, so the field is filled when the message goes out. Cancelled bookings don't get a link.
Deep links
To open the guidebook straight on a specific article, add &DL= and the article code after the merge code:
{BXSSLINK}&DL=cartXXXX
Deep links work well in check-in, Wi-Fi or house rules messages.
Troubleshooting
Problem | What to do |
|---|---|
The OwnerRez card shows Reconnect | SmoothStay lost access. Click Reconnect and authorize again. Your data stays. |
A booking is missing | Check it's a booking, not a block. Then use โฎ โ Resync. |
The message shows | Check the merge code matches the one on the SmoothStay card, and that the message sends at least 15 minutes after booking. |
No photos or descriptions imported | Your OwnerRez plan may not include listing access. Add them in SmoothStay. Amenities can still be imported for each property. |
Something else | Email hello@smoothstay.io with the property and booking ID. |
Access refreshes on its own. SmoothStay renews its OwnerRez access a day before it expires. If that fails, it retries 4 times, 10 minutes apart, then emails you and shows Reconnect on the card.
Disconnect OwnerRez
Open Settings โ Integrations, click โฎ on the OwnerRez card and choose Disconnect. You can also remove SmoothStay in OwnerRez under Settings โ Connected Apps.
Your reservations and contacts stay in SmoothStay. The guidebook link field stops updating, so remove {BXSSLINK} from your OwnerRez templates.
FAQ
Does SmoothStay change anything else in OwnerRez? No. It only writes the guidebook link to the SmoothStay guidebook link booking field.
Can I edit synced details in SmoothStay? Manage bookings and guest details in OwnerRez. Changes there flow to SmoothStay and would overwrite edits made in SmoothStay.
Will I get duplicate reservations? Only if you added bookings by hand before importing the same ones from OwnerRez. Delete the manual copy if that happens.
Can I connect OwnerRez and another system at once? No. One property management system per account.
